1. Scope of Agreement
Welcome to Padma Decorations. These Terms and Conditions govern all event decoration services, fresh coconut leaf craft setups, mandap designs, torans, craft prop sales, and digital invite services rendered by Padma Decorations ("we," "our," or "us").
By placing a booking deposit, approving a price quote, or submitting an order through our website (padmadecorations.in) or WhatsApp, you agree to be bound by these Terms and Conditions.
2. Booking & Payment Terms
- Slot Reservation: An event slot is reserved upon receipt of 100% full payment.
- Pricing Approval: For custom decor inquiries, final pricing is reviewed and approved by our team before slot lock.
- Full Payment: The 100% total order payment is required to lock raw leaf sourcing and assign master weavers.
- Payment Methods: Payments are accepted via online gateway (UPI, Credit Card, Net Banking) or direct bank transfer. Official digital bill summaries are issued for all orders.
3. Organic Leaf Freshness & Material Disclaimer
We use 100% natural, freshly harvested organic coconut palm leaves and real flowers. Because raw palm fronds are living natural materials, minor natural variations in leaf shade, texture, or thickness are inherent to traditional hand-weaving and are celebrated as marks of authentic eco-craftsmanship.
Leaves are harvested and woven within 24 hours of your event date and treated with natural moisture mist guaranteeing vibrant green shine for up to 48 hours under standard ambient conditions.
4. Product Display Photographs & Unit Pricing Policy
Staged Photography & Visual Representation: Product photographs and gallery images displayed on our catalog, website, or marketing channels are staged for aesthetic arrangement and visual representation (showcasing craftsmanship, scale, and potential venue styling). Photos may depict multiple units, bulk collections (e.g., 50 pieces stacked or hanging), or full event backdrops.
Per-Unit Pricing: All listed prices on product pages, quotes, checkout summaries, and invoices represent unit pricing (price per individual single piece/item) unless a product listing explicitly specifies that it is sold as a "Set of X" or "Bundle of X".
Delivered Quantity: The actual quantity of products prepared and delivered is strictly governed by the numerical item count (Qty) selected and paid for in your confirmed order invoice, not by the number of units visible in sample product photos.
5. Cancellation, Return & Refund Policy
Because raw coconut leaves are perishable organic items harvested and hand-woven fresh specifically for your reserved date:
- No Refund, Exchange, or Return: Strictly NO REFUND, EXCHANGE, OR RETURN once payment is made or production/weaving has commenced for your scheduled order.
Cancellation Timeline:
- 7+ days before event: 50% refund of the total paid amount (processing fee of ₹200 may apply).
- 3–6 days before event: 25% refund (if raw leaf sourcing has not yet commenced).
- Less than 3 days before event: No refund — leaf harvesting and master weaver scheduling will have already begun.
- After production has started: No refund under any circumstance, irrespective of timeline.
Refunds, where applicable, will be processed within 7–10 business days to the original payment method.
6. Damage, Defect & Complaint Reporting
Inspection Upon Delivery: The customer must inspect all delivered items at the time of receipt. Any claims regarding damaged, broken, or defective items must be reported with photographic evidence (clear images of the damage) within 2 hours of delivery via WhatsApp or email.
Remedies: Upon verified damage claims submitted within the above window, Padma Decorations may, at its sole discretion, offer (a) a replacement unit for the affected item(s) subject to availability, or (b) a partial credit towards a future order. No cash refunds are issued for damage claims.
Late Claims: Complaints reported after 2 hours of delivery, or without supporting photographic evidence, will not be eligible for any remedy.
7. Delivery Timeline & Force Majeure
- Estimated Delivery: Delivery and installation timelines communicated during booking confirmation are estimates and may vary depending on traffic, weather, venue access, and leaf availability.
- Force Majeure: Padma Decorations shall not be held liable for delays or non-performance caused by events beyond our reasonable control, including but not limited to: natural disasters, floods, cyclones, extreme weather, government restrictions, curfews, strikes, transportation disruptions, raw material shortages, or pandemics.
- Liability Cap: In the event of a delivery delay attributable to Padma Decorations, our maximum liability shall be limited to a partial discount (up to 15%) on the affected order value, at management discretion. We shall not be liable for any consequential, incidental, or indirect damages (including event disruption costs).
8. Design & Color Variation Disclaimer
While we strive to match reference designs, mood boards, and approved samples as closely as possible, minor variations in design patterns, dimensions, leaf shade, flower color, and weaving style are inherent to handcrafted natural products and are not considered defects. Exact replication of any reference image (including images from our own portfolio or social media) cannot be guaranteed.
9. Price Transparency & Additional Charges
- Quoted Price: The price confirmed at checkout covers the product cost only. Delivery charges, installation fees, and cargo/shipping charges are quoted separately and communicated before payment approval.
- Venue Surcharges: Additional charges may apply for difficult-access venues (e.g., multi-floor walkup without elevator, long-distance carry from parking, restricted venue hours requiring overtime labor). These will be communicated in advance when known.
- No Hidden Fees: No charges will be levied without prior communication. The final payable amount will be visible on your approved invoice before payment.
10. Customer Storage & Post-Delivery Responsibility
Once coconut leaf products are delivered to the customer or installed at the venue, all responsibility for their care and preservation transfers to the customer. Padma Decorations is not liable for:
- Wilting, drying, or discoloration caused by exposure to direct sunlight, rain, high wind, or air conditioning after delivery.
- Damage caused by improper handling, storage, or mounting by the customer or third parties.
- Natural degradation of organic leaves beyond the 48-hour freshness window under standard ambient conditions.
11. Venue Access & Installation Requirements
- Timely Access: The client is responsible for securing venue permissions and providing our installation team access to the setup area at the agreed setup time.
- Basic Facilities: Venue must provide basic electrical outlets (for ambient lighting setups) and a clean setup space.
- Dismantling & Cleanup: Post-event cleanup or dismantling terms are specified in your decor package summary.
12. Limitation of Liability
Maximum Liability: In no event shall Padma Decorations' total aggregate liability arising out of or related to any order exceed the total amount paid by the customer for that specific order.
Property Damage: Padma Decorations takes reasonable care during installation, but is not liable for pre-existing venue damage, wall marks from adhesive/hooks, or structural issues caused by venue conditions. Customers are advised to inform us of any venue restrictions (e.g., no nails, no tape) prior to installation.
Exclusion: To the maximum extent permitted by applicable law, Padma Decorations shall not be liable for any indirect, incidental, special, consequential, or punitive damages.
13. Non-Performance & Service Guarantee
If Padma Decorations fails to deliver the ordered products or services (excluding force majeure events), the customer shall be entitled to a full refund of the total amount paid for the undelivered portion of the order. This is the sole and exclusive remedy for non-performance.
14. Media Rights & Intellectual Property
All photographs, leaf weaving patterns, website designs, and video reels created by Padma Decorations remain the intellectual property of Padma Decorations. We reserve the right to photograph completed venue setups for portfolio and marketing purposes. (If your event requires strict privacy, please notify us in advance in writing).
15. Governing Law & Jurisdiction
These Terms and Conditions shall be governed by and construed in accordance with the laws of India, including the Consumer Protection Act, 2019 and the Information Technology Act, 2000. Any disputes arising in connection with these terms shall be subject to the exclusive jurisdiction of the courts in Hyderabad, Telangana, India.
